Office Equipment Tenders in Pakistan

Office equipment tenders cover the machines that handle documents, cash and goods in the daily running of an organisation. Four groups appear often: paper shredders for confidential records, document and book scanners for digitisation, cash counting and note sorting machines for bank branches and cash handling, and weighing machines from small bench scales to platform and truck scales used in stores, mandis, ports and factories.

What office equipment tenders cover

Digitisation drives much of the scanning demand. Departments scanning land records, personnel files, court files and archives buy high-speed production scanners, flatbed units and book scanners, or hire a service provider to scan files on contract. Banks and exchange companies, meanwhile, replace counting machines, counterfeit detectors and sorters as they upgrade branches.

Weighing equipment is bought for stores, food departments, customs, ports, mines, steel yards and weighbridges. Accuracy and calibration matter, since weighing results affect payments, so notices often ask for verification by the standards authority. Procurement of this equipment is often combined with multi-year service contracts, and buyers appreciate suppliers who can provide a replacement machine during repair.

  • Paper shredders by security level and sheet capacity
  • High-speed, flatbed and book scanners, with document management software
  • Scanning and digitisation services for archives and records
  • Currency counting machines, note sorters and fake note detectors
  • Bench scales, platform scales, hanging scales and weighbridges
  • Electronic balances for laboratories and stores
  • Installation, calibration, training and annual maintenance
  • Consumables, rollers, spare parts and service kits

Who issues them

Buyers include commercial and public sector banks, the State Bank and its field offices, land record and revenue departments, courts, universities and boards, hospitals, customs, ports and food departments, mines and industrial estates, and private corporates with archives. Federal and provincial ministries buy shredders and scanners for registries and secure rooms. Weighbridges and scales are common in grain procurement, cement, sugar and steel supply chains. Where several machine types appear in a single tender, such as scanners with shredders or scales with counting machines, bidders should check whether the buyer allows quotation for individual items or insists on a single complete package. Retail chains, food departments and warehouses tender separately for weighing and cash handling equipment, and many of these buyers want a service engineer reachable in the same city. Suppliers with stocked spare parts and a local workshop often win repeat orders from the same institution.

Rules and procedure

Public buyers follow the Public Procurement Rules, 2004 and publish on e-PADS, or use provincial rules and portals. Evaluation is by compliance with the specification, followed by price, and brand authorisation and local service support are frequently required. Weighing instruments used for trade are regulated by the legal metrology system and must be verified and stamped, so buyers check calibration certificates. Cash machines should be supported by documented accuracy and counterfeit detection features. PEC registration is not needed unless the contract also involves construction of a weighbridge or civil works. Bid security is a few percent and a warranty period is standard. Security and data handling are considerations for scanners and shredders: buyers may require the supplier to follow confidentiality rules and to supply machines that meet the specified shred size or image quality.

How to bid

  1. Check the specification: sheet capacity, security level, scan speed, resolution, counting speed or weighing capacity and accuracy class.
  2. Obtain the manufacturer or distributor authorisation and datasheets for the model you will quote.
  3. Include installation, training, calibration and warranty in the price, and any software licences.
  4. Submit bid security with technical and financial proposals before the closing time.
  5. Deliver, install and calibrate, then keep a signed commissioning report and calibration certificate for payment.

Documents you will usually need

  • NTN and active taxpayer proof with sales tax registration
  • Manufacturer authorisation or distributor agreement
  • Datasheets and compliance statement against the specification
  • Calibration or verification certificates for weighing equipment
  • Warranty terms and details of local service engineers
  • Affidavit that the firm is not blacklisted

Tips from the notices we track

  • Quote consumables and maintenance for the warranty period clearly; buyers compare lifetime costs.
  • For scanners, confirm the software, file formats and indexing requirements, not just the hardware.
  • For weighing machines, state capacity and accuracy class exactly as written in the notice.

Frequently asked questions

Which buyers purchase cash counting machines?

Banks, microfinance institutions, exchange companies, collection agencies and large retailers, usually through procurement by head office for many branches.

Are shredders and scanners bought separately?

Often yes, but some tenders combine them with other office equipment. Check the item list, since partial bids may be rejected.

Do weighing machines need verification?

Machines used for trade or payment are normally expected to be verified by the competent standards authority, and buyers often ask for the certificate.

Can I bid as a distributor?

Yes, if you hold an authorisation from the manufacturer and can provide service. Many tenders require it.

Where can I find these notices?

On e-PADS, provincial portals, newspapers and buyer websites. PakistanTender collects tenders from e-PADS, provincial authorities, newspapers and buyers' websites into one list and emails new ones daily in your subscribed categories.
