For material supplies, quotations must include prices in column 5 and delivery dates in column 7 of the schedule. A non-refundable tender fee of Rs 500 must accompany the submission. Bid security is required in the form of deposit at call receipt, pay order or banker cheque drawn in favour of MD POF Havelian Cantt, with rates of 2% for registered indexed firms (max Rs 0.5 million), 3% for registered unindexed firms (max Rs 0.75 million), and 5% for unregistered firms (max Rs 1.0 million). Quotations must remain valid for at least 90 days from the opening date and should be based on FOR station of dispatch or free delivery at POF stores at Havelian, with octroi duty payable by the supplier in the latter case.

Taxes and duties must be shown separately with relevant registration numbers and authority references. Suppliers must furnish an Excise and Taxation department certificate confirming clearance of all professional tax. Conditional or alternative offers will be ignored. Tender samples may be required depending on the specific items. Inspection and acceptance of supplies will be conducted by the competent inspection authority nominated by the purchaser at the supplier's cost. Performance bonds equal to 10% of contract value must be provided by successful bidders in the form of deposit at call receipt or unconditional bank guarantee.
